1. Who we are
LaneLynx (“LaneLynx,” “we,” “us,” or “our”) provides an AI dispatch service for owner-operators and small motor carriers. The service helps you find loads, communicate and negotiate with brokers, manage active loads, and follow up on paperwork and payment. This policy applies to our mobile app, our website at lanelynx.com, and related services (together, the “Service”).
2. Information we collect
Information you provide
- Account & identity: your name, email address, phone number, password, company name, and your MC and DOT numbers.
- Carrier verification: we look up your MC/DOT number against the public FMCSA (Federal Motor Carrier Safety Administration) registry to confirm your authority and retrieve the contact information on file.
- Documents: files and images you upload during onboarding or use, such as insurance certificates, authority documents, licenses, rate confirmations, and bills of lading.
- Payment information: your subscription is processed by a third-party payment provider (our merchant of record). We receive limited billing details (such as subscription status and the last four digits of a card); we do not store full card numbers on our servers. Payout/settlement details you enter to get paid on loads are stored to operate that feature.
- Content & communications: messages you send to your AI dispatcher, photos you attach, and information about the loads you view, save, book, and manage.
Information collected automatically
- Location: with your permission, we collect precise device location, including in the background while a load is active, to track delivery progress and share ETA updates with brokers. You can disable location access in your device settings, though some features will not work without it.
- Camera & photos: when you use the camera or attach a photo (for example, a load posting or rate confirmation), we process that image to assist you.
- Microphone & voice: when you use voice features, we process audio from your microphone to understand your requests.
- Device & usage data: app interactions, device type, operating system, approximate region, crash and diagnostic data, and push-notification tokens. We use a third-party analytics provider to help us understand and improve the Service.
Calls and emails made on your behalf
A core part of the Service places phone calls and sends emails to brokers and other parties on your behalf and at your direction. In connection with these:
- We generate and store transcripts and records of these calls and messages, and, where calls are recorded, the recordings, so we can carry out the task, keep you informed, and maintain an accurate record of what was agreed.
- Google account access:if you connect your Google account, you authorize us to send emails on your behalf (for example, forwarding a rate confirmation or bill of lading). We use this access only to provide features you request and in accordance with Google’s API Services User Data Policy, including its Limited Use requirements. We do not use Google user data for advertising, and we do not sell it.
3. How we use your information
- Provide, operate, and improve the Service, including finding and booking loads.
- Communicate and negotiate with brokers and other parties at your direction.
- Verify your carrier authority and eligibility.
- Process your subscription and payments.
- Send you notifications, updates, verification and security codes, and support messages.
- Detect, prevent, and address fraud, abuse, security, and technical issues.
- Comply with legal obligations and enforce our Terms.
4. AI processing and service providers
LaneLynx uses artificial-intelligence and other third-party service providers to operate the Service. To do this, relevant information (such as your messages, load details, documents, and call transcripts) is processed by these providers, which include:
- AI/large-language-model providers that power the dispatcher and voice features;
- Voice/telephony providers that place and handle calls;
- Cloud hosting, database, and storage providers;
- Our payment processor / merchant of record;
- Analytics, error-tracking, email, and push-notification providers.
These providers act on our behalf under contractual obligations to protect your information and use it only to provide services to us. We do not sell your personal information.
5. How we share information
- With brokers and counterparties when you direct us to inquire about, negotiate, book, or manage a load — this necessarily involves sharing information such as your carrier identity, equipment, and availability.
- With service providers as described above.
- For legal reasons — to comply with law, a subpoena, or lawful request; to enforce our Terms; or to protect the rights, safety, and property of LaneLynx, our users, or others.
- In a business transfer — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
6. Data retention
We retain your information for as long as your account is active and as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or de-identify it. Some records (such as transaction and communication records) may be retained longer where required by law or for legitimate business purposes.
7. Security
We use technical and organizational measures designed to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
8. Your choices and rights
- Access, correction, deletion: you may request access to, correction of, or deletion of your personal information by contacting us at hello@lanelynx.com. You can also delete your account.
- Permissions: you can control location, camera, microphone, and notification access through your device settings.
- Marketing: you can opt out of promotional messages; we may still send you non-promotional messages about your account or the Service.
- Regional rights: depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the GDPR, including rights to know, delete, correct, and (where applicable) not be discriminated against for exercising your rights. We do not sell personal information. To exercise any right, contact us at the address above.
9. Children’s privacy
The Service is intended for commercial motor carriers and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. International users
We operate the Service and use providers that may process and store information in the United States and other countries. By using the Service, you understand your information may be transferred to and processed in locations with different data-protection laws than your own.
11. Third-party services
The Service may link to or interoperate with third-party services (such as brokers, load boards, and Google). Their privacy practices are governed by their own policies, and we are not responsible for them.
12. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
